Overview
Most products work in one of two ways. A bot-based assistant is invited to a video call as a participant and records the audio from the platform itself, while a local or desktop recorder captures audio on the participant's own device for in-person conversations and calls the bot cannot join.
Behind the interface the pipeline is consistent: automatic speech recognition (ASR) converts audio to text, speaker diarisation attributes utterances to individuals, and a large language model condenses the transcript into a summary, extracts decisions and owners, and answers follow-up questions. Otter, for example, transcribes live during the call and lets team members query months of stored meetings with answers cited back to the transcript.[1] Fireflies markets transcription in more than 100 languages with speaker recognition and automatic language detection, claiming around 95% accuracy, and routes summaries into customer relationship management and applicant tracking systems.[2]
Products differ mainly in speed and emphasis. Independent comparisons note that Fathom[4] delivers a summary within one to two minutes of a call ending, Fireflies typically completes a transcript in three to five minutes, and Otter transcribes in real time so participants can correct the record while the meeting is still running.[3]
Applications and Impact
Common uses include internal stand-ups and project meetings, where notes are shared rather than assigned; sales calls, where transcripts feed CRM records and coaching; interviews and research, where verbatim records matter; and customer support review, where recurring issues are tracked across calls. The broader impact is the conversion of meetings from ephemeral events into retrievable organisational memory — searchable text that can be queried, summarised across a quarter and handed to other tools.
The technology is also contested. Participants who did not know a bot was present may be recorded without meaningful consent, audio retention policies vary between vendors, and "AI notetaker" behaviour in client meetings has become a common complaint in professional settings. Responsible deployments therefore announce recording, obtain agreement from participants and set retention limits.

🇲🇾 Malaysian organisations adopting meeting assistants must satisfy the Personal Data Protection Act 2010, which requires consent for the collection and processing of personal data and governs cross-border transfer — relevant because most of these services store transcripts on servers outside Malaysia. Multinational teams in Kuala Lumpur and Penang use them heavily, and their multilingual transcription handles the everyday mix of Bahasa Melayu, English, Mandarin and Tamil, although accuracy drops on code-switched speech and local dialects, so human review remains necessary for formal records.
Small and medium enterprises — the segment MDEC's digitalisation programmes target — benefit most, since many cannot justify a dedicated minutes-taker for every client call. Banks and insurers, which record calls under Bank Negara Malaysia's conduct requirements, generally prefer their own regulated call-recording systems and add AI summarisation on top. Procurement teams typically evaluate these tools on data residency, retention controls and export options rather than on transcription quality alone.
